Cash Drawer

The Cash Drawer feature will help you reconcile cash easier for your ticket sellers by entering how much money each drawer started with and tracking how much money is collected.

Click Manage from the Venue Dashboard



Click Cash Drawer



Click New Cash Drawer



A. Enter the Drawer Label
Note: This field is for internal tracking purposes only and will have no effect on reporting.
B. Select the Drawer Assignee by choosing a username form the drop down.
C. Change the Initiation Time or start date and time for the Cash Drawer
Note: This is the Date and Time that the new drawer should become active and is entered into the settlement queue.
D. Enter the Cash Amount
E. The Starting Drawer Balance will then display
F. Click Initiate Drawer



OR
Click Bulk Initiate.  This feature allows you to bulk create all of your drawers in the system and is designed for clients who are starting their sellers with the same bank every shift.




A. Enter the Cash Amount
B. Enter the Initiation Time- Defaults to current date/time. Can select a future date/time to schedule your drawers in advance.
C. Select the Username Box in order to Select All Users or select specific Users.
D. Click Initiate Drawers



A confirmation message will appear informing you that a new cash drawer has successfully been added.  Three different types of drawers may display:
A. Active Drawers: Displays the drawers that are currently active.
B. Scheduled Drawers: Displays the drawers that will become active in the future.
C. Settlement Queue: Displays the drawers that were active, but became inactive when another scheduled drawer became active for the same user.

Active Cash Drawers
A. Drawer Assignee (User Name)
B. Drawer ID
C. Drawer Label
D. Current Balance.  As the drawer assignee (users) sells or refunds tickets this number will update.
E. Initiation Time
F. Today's Cash Sales.  As the drawer assignee (users) sells or refunds tickets this number will update.
G. Cash in Drawers.  As the drawer assignee (users) sells or refunds tickets this number will update.



Under the Actions column click the gear symbol to perform the below actions:
1. Cash Add
2. Cash Drop
3. Settle Drawer



If Cash Add is selected:
A. Enter the Cash Amount
B. Balance Before the Cash Add
C. Cash Add Amount
D. New Drawer Balance
E. Click Save



A. A confirmation message will appear informing you that cash was added successfully.
B. The current balance will update based on the cash add.
C. The total cash in drawers will update based on the cash add.




If Cash Drop is selected:
A. Enter the cash drop amount
B. Balance before the cash drop
C. Cash drop amount being deducted
D. New drawer balance after the cash drop
E. Click Save



A. A confirmation message will appear informing you that cash was dropped successfully.

B. The current balance will update based on the cash drop.
C. The total cash in drawers will update based on the cash drop.



If Settle Drawer is selected there is a possibility of three different scenarios.
1. The cash amount the assignee has in their drawer matches the expected balance.
2. The cash amount the assignee has in their drawer is less than the expected balance.
3. The cash amount the assignee has in their drawer is more than the expected balance.


If the cash amount the assignee has in their drawer matches the expected balance:
A. Enter the cash amount the assignee actually has in their drawer.
B. The expected balance will display here.
C. The difference will then display.  If the cash amount and expected balance match the difference will be $0.00.  
D. Enter a settlement comment.
E. Check to confirm the information entered above is accurate.
F. Click OK



If the cash amount the assignee has in their drawer is less than the expected balance:

A. Enter the cash amount the assignee actually has in their drawer.
B. The expected balance will display here.
C. The difference will then display.  If the cash amount is less than the expected balance, the difference will be negative.
D. A note will appear with the shortage amount.

E. Enter a settlement comment.
F. Check to confirm the information entered above is accurate.
G. Click OK



If the cash amount the assignee has in their drawer is more than the expected balance:

A. Enter the cash amount the assignee actually has in their drawer.
B. The expected balance will display here.
C. The difference will then display.  If the cash amount is more than the expected balance, the difference will be positive.
D. A note will appear with the overage amount.

E. Enter a settlement comment.
F. Check to confirm the information entered above is accurate.
G. Click OK



A confirmation message will display informing you the cash drawer has been settled.  That drawer will no longer display under active cash drawers once settled.



When viewing Active Cash Drawers, click the Drawer ID to view the below:
Drawer Status
Current Balance
Initiation Detail
  • Date/Time Initiated
  • Drawer Label
  • Drawer Initiator
  • Drawer Assignee
  • Beginning Balance
Settlement Detail
Cash Drawer History
  • Date/Time of Action
  • Action Taken
  • Username
  • Details (Dollar Amount)
  • Running Balance

Click All Sales to open the Organization Box Office Sales Report



The Organization Box Office Sales Report will open with the date range set from the Drawer 
Initiation Time to the Drawer Close Time.
Note:  The report will be filtered to only display data surrounding the specific drawer assignee.

E. Actions: Click the gear symbol next to a drawer followed by cancel to remove a scheduled drawer.

F. Actions: Click the gear symbol next to the drawer you need to settle and click Settle Drawer.
