The Event Series function serves two purposes:
1. Grouping a series or run of the same or similar performances utilizing the event sales link, i.e.10 straight Lion King performances (generally used by Performing Arts Centers). Then you will utilize Event reports like the Detailed Event Audit
2. Setting Ticket Limits using the Membership feature. Ticket Limits allow Membership ID's access to special Price Codes.
To create an Event Series:
Click Manage to expand
Click Event Series
A. Current events will display at the top
B. Enter the Event Series Name This information will not appear to the general public but will appear on your Performance Detail Report and on Event reports.
C. Select the Start Date and End Date This is a range in which the associated performances will fall between.
D. Maximum Links Per Calendar Day: How many performances should be listed before it says "Multiple Performances" if using the Calendar View option, opposed to the List View. If zero is entered here, the calendar will display a "View More Events" link.
E. Select if the Performances are Identical
F. Determine your Privacy Settings - if you want your events to be searchable on Etix.com. Choose if you want the event to be public (searchable) or private (not searchable).
G. Input your Max. Ticket Per Order which is the Event Order Ticket Limit. This controls how many tickets your patrons can purchase per order across all performances within your Event Series.
H. Input your Max. Tickets Per Customer which is the Event Customer Ticket Limit. This controls how many tickets your patrons can purchase total across all orders and all performances within the Event Series.
Note: The Event Ticket Limits (Per Order and Per Customer) will display on the Performance Detail Report.
Note: Users who have the Override Order Ticket Limits and Override Customer Ticket Limits permissions can override these in the Box Office Sales Channel.
I. Click Create
To obtain the direct link to the Event Series, click on the Event Series ID.
This will direct you to a page showing all of the performances associated with the new Event Series.
A. Click on Copy URL to copy the direct link to your clipboard.
B. Click on View Event Series to be automatically directed to the online Event Series page.
You may also copy the Event ID and place at the end of this Event Link
Now that the Event has been created you must associate the Performances to the Event.
From the Performance Dashboard
Click Edit Performance
Select the Event Series Name for the drop-down and scroll to the bottom of the page and click Save and Exit.
Note: If an Event has been created, this can also be done during the performance creation.
Repeat this process until all Performances you want are added to the event.
From the list of Event Series, click on the Event Series ID to view details about the Event Series and the individual performances tied to it.
From the Performance List of Event Series, you will be able to:
A. Manage Event (List Event Series Ticket Limit. Export Performance Series Calendar)
B. Perform Bulk Performance Edits (Public Flag, Bot Stopper, DIsplay Date Time, Clone Viewable Chart, Set Password, Change Description, Confirmation Message)
Note: These will update all performances in the Event Series, and will override any performance level settings previously in place.
C. Grab the Copy URL
D. View Event Series in a preview window
Note: To add an image to the display, the user must create and upload a performer image (as opposed to a performance image)
